[V2] Participant profile: Main details and quick actions

The participant profile provides a detailed view of an individual participant linked to a customer account. From the Main Details tab, studio staff can view and edit participant information, access attendance tools like the pincode and QR code, review payment methods on file, and navigate to connected customer profiles.

Accessing the participant profile

 

To access the participant profile:

  • Go to contacts > participants

  • Click the participant’s name in the table to open the participant profile

Information shown in the participant profile: Main details

The participant Main Details tab provides vital information such as:

  • Total paid and past due payments associated with the participant.

  • Participant information including: first name, last name, age (with date of birth), gender, belt size, client email address, client phone number, and address.

  • Attendance tools like the pincode and QR code

  • A Payment information section showing saved payment methods on file.

  • A Relationships section listing the customer account(s) linked to the participant.

How to send communication from the participant profile

Quick action icons at the top of the participant profile allow you to contact the participant directly:

  • Click the SMS icon to send a text message.

  • Click the Email icon to send an email.

How to add a note from the participant profile

To add a note directly from the participant profile:

  • Click the Note icon in the quick actions bar at the top of the profile panel.

  • Enter your note content in the dialog that appears.

  • Save the note.

 

Note: Notes you add will be visible under the Notes tab in the participant profile once released.

How to find the participant's QR code and pin code for attendance

Each participant has a unique pincode and QR code used to check in for attendance.

 

To find the pincode:

  • Open the participant profile and go to the Main Details tab.

  • Scroll to the Pincode section. The current 4-digit pincode is displayed here.

  • If you need to issue a new pincode, click Regenerate to replace it.

 

To access the QR code:

  • Click the QR code icon in the quick actions bar at the top of the profile panel.

  • Click the download button to print or send the QR code to the participant.

 

Note: The QR code and pincode are both used for participant check-in at your studio. Regenerating the pincode will invalidate the previous one.

How to edit participant information

 

To update a participant’s details:

  • Open the participant profile and go to the Main Details tab.

  • In the Participant information section, click the Edit button.

  • Update the relevant fields (first name, last name, age, gender, belt size, email, phone number, address, etc.).

  • Save your changes.

Listed payment information in the participant profile

The Payment information section displays any payment methods saved to the participant’s profile, including the card type, last four digits, and expiration date. This section is view-only for understanding which payment method is on file; payment management is handled from the associated customer profile.

Accessing connected profiles from the participant profile

 

The Relationships section at the bottom of the Main Details tab shows all customer accounts linked to the participant. Each relationship displays the customer’s name and their account type (e.g., Customer).

  • Click the linked customer’s name to navigate directly to their customer profile.

 

Note: A participant may be linked to more than one customer account, and all relationships will be listed in this section.
