V2: Grade testing events and process rank advancement

Easily manage testing events, view participant rosters, record pass/fail/no-show results, and advance participants to their next rank all in one centralized workflow.

Overview

Testing event grading allows you to grade participants who attend testing events and advance them to their next rank directly from the event roster.

In MyStudio V2, testing event grading is easier to find and easier to use. The workflow now lives directly inside Rank Promotions, and grading results are clearer and more intentional.

V2 also introduces explicit grading outcomes:

  • Pass

  • Fail

  • No-show

These outcomes give staff better control over rank advancement and clearer tracking of testing results.

 

Key differences from MyStudio Classic (V1).

  • Both versions are event-driven and roster-based.

  • V2 is more visible and accessible within the platform.

  • V2 adds clear Pass, Fail, and No-show grading results.

  • Grading is now tied directly to the testing event workflow instead of a separate updater tool.

Filter by date

If you want to focus on events within a specific timeframe:

  • Click “Filter by date” above the table.

Note: The filter uses the event’s start date to determine which events are shown.

View only active events

To limit the view to only upcoming or ongoing events:

  • Click “Filter by Status.”

Bulk exporting

From the table, you can export data for one or multiple events.

Export list of attendees

This is a list of all participants in selected events, including:

  • Participant first and last name
  • Membership
  • Status
  • Testing result
  • Age
  • Registration date
  • Current rank
  • Next rank
  • Advancement date
  • Email
  • Belt size

 

Export certificates

This will redirect you to the rank certificate builder, where certificates can be downloaded or emailed to selected participants.

 

Export printable testing sheet (ATA format)

This will download a pdf of a printable testing sheet with all selected participants.

 

Export belt inventory

This will export a list of belt ranks and sizes for the selected participants to help prepare inventory for events.

Event roster (participant list)

Clicking on an event opens its participant roster, showing anyone who is registered. From this screen, you can:

  • Review participant details, including membership, current rank, and next rank.

  • Export the roster for reporting or recordkeeping.

  • Begin grading by clicking “Grade the event.”

If you see “select membership”

If a participant’s membership shows as “select membership,” this usually means that:

  • The participant is registered for more than one active membership, and

  • Their registration occurred outside of the eligibility-based invitation, such as through the Point of Sale (POS).

Action: Select the correct membership before grading to ensure that the participant is connected to the proper program and rank information.

What “N/A” or "No match" means

An N/A in the roster indicates missing or unmatched information. The meaning varies depending on the column. 

 

Membership or Status

  • A membership has not been selected.

  • The membership was cancelled or placed on hold after the participant registered for the event.

 

Current rank

  • Membership has not been selected.

  • The participant registered before rank were configured in the system.

  • A duplicate profile exists because the participant registered using a different email.

 

Next rank

  • No next rank is defined for the membership

  • Membership is canceled or on hold

  • Duplicate profile conflicts exist.

 

Advance Date:

  • Participant has not been graded yet, so no date appears.

Grading the event

Start grading

From the event participant roster, click "Grade the event" to open the grading page. Participants will appear under the "Not graded" tab.

Grade the event

To grade participants:

  1. Confirm their details are correct.

  2. Select No-show, Fail, or Pass.

  3. Click "Update and continue" in the top-right corner.

A confirmation popup will appear and may give you the option to remove failed or no-show participants from the eligibility list. Once confirmed, you will be redirected back to the event participant roster with updated results.

Frequently asked questions (FAQs)

 

What if I don't grade a participant?

Participants who are not graded will remain in the "Not graded" section and will not advance in rank.

Can I change a grade after grading?

No. Once grading is confirmed, grades cannot be changed from the grading screen.

A member has registered for the same event multiple times, why can’t I grade the duplicates?

Only one registration can be graded at a time to prevent duplicate rank advancement. If the participant has multiple memberships, they can register once per membership in a single event.

What happens when I mark a participant as no-show?

The participant will not advance in rank, but their registration will still be recorded for the event. Once done grading, you will have the option to remove them from the eligibility list, if desired.

Does grading automatically advance a participant's rank?

Yes! Marking a participant as "Pass" will advance them to the selected next rank using the chosen advancement date.

Can I bulk grade participants?

Yes! You can click "Select pass for all" button at the top of the table to pass all participants.

Can I choose a different advancement date?

Yes! The advancement date can be selected before grading.

Why can't I see my event in the testing events list?

The event may not be created as a "ranked event." You should check the settings of the event to double check.

Why is a participant's next rank missing?

This can occur if:

  • The participant is already at the highest rank.

  • The membership has no next rank configured.

  • The membership is cancelled or on hold.

What happens if a membership is put on hold or canceled after grading?

The grading record remains, but future rank advancement may be affected depending on the membership status.

Can a participant be graded without a membership?

No. A valid membership is required to grade and advance a participant.

What if a participant double tested and should advance two ranks?

The system is defaulted to the next belt rank. If the participant needs to advance more than one rank, you can manually select a different belt rank before completing grading.
