Pending Registrations

Capture payment info and signature by sending the registration to your customers to fill out at a later time.

 

 

Overview

Some scenarios require you to send a registration to a customer so that they can finish filling out their payment info or to sign the waiver. In these circumstances, you can send membership registrations and trial registrations to customers right from the staff POS.

  • Must connect a Twilio account if you do not have a MyStudio phone number or if you want to utilize emojis or pictures via SMS

Sending registrations

 

In the staff point of sale, after making a trial or membership selection, you will see an option on the customer details page to “send to customer.” In order to send to customer, enter the following information into the buyer’s info fields:

  • First name
  • Last name
  • Email
  • Mobile Phone (only required if sending via SMS)



Then click “send to customer” and choose whether to edit and send an email or edit and send an SMS text.

 

Note: The option to edit and send an SMS text will only appear if you enter a buyer mobile phone number.


Edit and send email/SMS:

 

Edit the contents of the email or SMS to your liking - the only item you won’t be able to edit is the link to complete registration. You can optionally select to send automatic reminders to the customer for:

  • Every day
  • Every 2, 3, 4, 5, 6, or 7 days

 

You can also send a test email or SMS to yourself so that you can see what the email will look like. The email will contain a link for the customer to click on. This will redirect them to a URL to finish the registration for the trial or membership. 

 

 

Note: The only payment options that are available for this kind of registration is credit card.

 

Pending trial registrations

 

You can find the list of customers needing to complete registration for a trial in all customers > pending trials. From this page you can see the entered customer information, the date registration was sent to the customer, and which trial was sent for registration.

 

A sent trial registration will expire after the trial start date. Once expired, the registration in pending trials will be listed as (expired) in red. These will either need to be re-sent to the customer by clicking on the participant name, which will redirect you to the staff point of sale with only a “send to customer” option with a new start date, or you will need to delete the listing by checking the box and clicking delete above the table.

 

You can also bulk resend invitations by checking the boxes next to the listings and clicking “resend invitation.”

 

Additionally you can:

  • Send a mobile message
  • Send an email
  • Export the list of pending trials

 

 

Pending membership registrations

 

You may have noticed a subsection in all customers labeled “pending memberships.” This section specifically refers to migrating members. In order to find pending memberships for membership registrations that were sent to customers from the staff POS, you will instead need to go to all customers > programs > and filter the list by status “pending.”

 

Similar to pending trials, you can see the entered customer information, but the table will also list other membership-specific fields.

 

A sent membership registration will expire after the start date. Once expired, the registration listed will be listed as (expired) in red. These will either need to be re-sent to the customer by clicking on the participant name, which will redirect you to the staff point of sale with only a “send to customer” option with a new start date, or you will need to delete the listing by checking the box and clicking delete above the table.
