Transferring Registrations

Sometimes event registrations get attached to the wrong participant or a participant needs to transfer to a different membership. These transactions are the only types that contain some type of transfer option.

Transferring to new programs

 

Important: At this time, you can only transfer a participant to a different membership. If the wrong participant is attached to a program registration, you will have to cancel the registration and redo it with the correct participant information. Program registrations cannot be transferred to a different participant. 

 



If a participant needs to be transferred to another program or membership option, you will go to all customers > program participants > click on the name of the participant to access the program registration page. Then, click on the pencil icon next to either the program or membership option. 

 

Select the program or membership option that the student is transferring into. You will then be asked whether to keep the current payment structure or create a new payment structure.

 

 

The difference between the two is as follows:

  • Keep current payment structure: the only thing that changes is the name of the program/membership option. Nothing else will change.
  • Create new payment structure: this will follow the payment structure of the new program or option as specified in services and products. Choosing this will redirect you to the POS after choosing the rank in order to complete transactions and the registration. This will have the following effects:
  • Cancel the membership the student is transferring away from.
  • Clear past due payments owed for the membership the student is transferring away from. Past due payments will not be transferred to the new registration.
  • Reset attendance and skill progress.
  • Reset attendance limits.

 

Transferred memberships do not count as new memberships in your analytics.

 

Once you’ve made your selection, you will be asked to specify the rank.



Then you can choose whether to send the customer a confirmation email for the transfer.





If you choose to create a new payment structure, you will then be redirected to the POS to finish registration. Otherwise, the transfer will be completed.




Transferring event participants

 

Important: At this time, events can only be transferred between the participants of a buyer. If the participant needs to be transferred to a different event, you will need to cancel the registration and redo it for the correct event. 

 

 



In cases where a family has multiple participants and an event registration gets attached to the wrong one, you can transfer the event registration from one participant to another within the same buyer profile.

 

Go to all customers > event participants > check mark the name next to the registration > click “transfer” above the table.

 

You will then be able to select a different participant within the buyer profile, or you can create a new participant. If you select a pre-existing participant, the system will auto-fill the rest of the fields. Otherwise, you will need to fill out the first name, last name, and date of birth for the new participant.

 

Click continue and confirm the transfer.

 



You can also transfer event registrations to a different participant from the rank updater. Go to all customers > event participants > filter the list to the specific event > check the box next to the registration > and click “rank updater” above the table.

 



Check the box next to the participant, click “transfer” above the table and continue as described above.

 




FAQ
